Position Summary

 

The Conference Sales Coordinator will assist the group sales and planning team in achieving resort revenues through a proactive supportive role for the department. This position reports to the Sales Director

 

Duties and Responsibilities:

  • Answers telephones, qualifies lead inquiries, directs calls and relays messages in a timely manner
  • Manages online RFP’s and inquiries and produces monthly tracking reports as required
  • Prepares group booking contracts, proposals, and other correspondence to support the sales process
  • Prepares banquet event orders when required to assist the planning team in detailing client events
  • Updates sales system information for report generation for sales, reservations & conference departments.  Working Knowledge of Opera and rooming list management
  • Prepares correspondence and material for client site visits
  • Supports Sales team in preparation for Sales Blitzes and other sales related initiatives & activities.
  • Support the coordination of all sales initiatives including Direct Mail Campaigns, fams, etc.
  • Prepare PowerPoint presentations and other sales tools as required to support Client meetings and Tradeshows.
  • Performs proactive maintenance in sales database management
  • Batch print all banquet event orders and distribute package weekly.   Identify outstanding groups for the Sales and Conference Planners to follow up with
  • Conducts research on accounts as required
  • Able to produce accurate MarketVision reports as required to support Sales and Planning Managers
  • Provides general administrative support as needed
  • Maintain and prepare correspondence required for incoming clients as requested by the Planning Managers.

 

  • Responsible for all internal meetings from blocking in sales systems to creating the banquet event orders
  • Attends all sales and planning meetings, completes supporting duties as assigned
  • Provides exceptional and professional service to our guests and team members
  • Ensures the well-being of our guests and team members by being alert to and reporting potential hazards
  • Models all Horseshoe Resort Standards while caring for the guests, co-workers and owners
  • Comfortable making responsible decisions and develops recommendations for effective problem solving
  • Assist onsite with Weddings when business levels require additional assistance
  • Greets clients in a friendly and courteous manner
  • Ensures prompt and courteous service to both internal & eternal customers.
  • Maintain and ensure supplies are well stocked.
  • Additional duties as assigned by the Director of Sales
  • Will need to work evenings and weekends as required

  • Proficiency in Word, Excel, Power Point and Delphi

  • Able to adapt in a fast paced, constantly changing environment within a dynamic work schedule
  • Able to evaluate and select among alternative courses of action quickly and accurately, identifying and solving problems as necessary
  • Able to assimilate complex information and data from disparate sources and adjust, or modify to meet the constraints of the particular need
  • Proven ability to organize special events effectively with accurate sense of detail.
  • Has strong interpersonal and organizational skills

 

Education & Experience

  • College diploma in Hospitality program
  • 2-3 years experience in a Resort/Hotel or a related field preferred
  • An advanced level of competence in all administrative functions and Microsoft Office applications required
